Privacy Policy

This Policy informs you regarding the collection, use, and disclosure of personal data when you use our Service and the choices you have associated with that data. Personal information Personal information is necessary so we can provide our services to you. If you do not disclose the below information, it may prevent us from providing services to you. Personal information we collect about you: We may collect and use the following personal information about you: •Contact information, including name, email address, telephone number, date of birth, forwarding address and company information (where applicable). •Your billing information, transaction and payment card information. •Medical history, allergies and lifestyle choices on our client consultation applied to existing and prospective customers. •Details of any feedback you give us by phone, email, post or via social media. •Data regarding how you use our website, IT, communication and other systems. How we collect personal information: We collect most of personal information directly from you for example, customer consultations, telephone, email or face to face. However, it may also collected indirectly such as your activity whilst using our website or through third party IT systems with your consent. How and Why, we use your personal information: Under data protection law, we can only use your personal information where there is a necessity for us to do so,known as a legitimate interest: oTo provide goods/and or services to you oFor the performance of our contract with you or to take steps at your request before entering into a contract. oTo evaluate our performance of the level of services being provided. oEnsuring safe working practices, staff administration and assessments oMarketing our services to prospective or existing customer base oPromotional communications (with consent where required) Or to comply with our legal and regulatory obligations: -To comply with our legal and regulatory obligations; for the performance of our contract with you or to take steps at your request before entering into a contract; for our legitimate interests or those of a third party; or where you have given consent. -Conducting checks to identify our customers and verify their identity -Any professional legal and regulatory obligations that apply to our business, eg under health and safety regulations or rules issued by our professional regulator -Gathering and providing information required by or relating to audits, enquiries or investigations by regulatory bodies -Ensuring business policies are adhered to, eg policies covering security and internet use - -For our legitimate interests or those of a third party, ie to make sure we are following our own internal procedures so we can deliver the best service to you Who do we share your personal information with: Again, personal information is only shared with those who have a genuine and necessary requirement to do have access to it. This includes: -Myself as a self-employed therapist -Payment service providers, -Other third parties we use to help us run our business, eg marketing agencies or website hosts -Our Insurers -Delivery companies i.e. for the delivery of goods purchased on our website -Our health and safety advisors if you have an accident -External auditors, eg in relation to accreditation and the audit of our accounts. -We may disclose and exchange information with law enforcement agencies and regulatory bodies to comply with our legal and regulatory obligations. We will not share your personal information with any other third party. Where your personal information is held Information may be held at our offices either in hardcopy form or on our computer database systems and those of our third-party agencies, service providers, representatives and agents as described above. When you click links on our website, they may direct you away from our website. We are not responsible for the privacy policy of other websites and would recommend you read their privacy and cookies policy before you submit any personal data to these websites. How long is Personal Information kept: We will keep your personal information while you have an account with us or we are providing services to you. After this we will keep it for as long as necessary for any complaints, regulatory requirements or legitimate interest. By law, we are required to hold the personal information you have given us in connection with booking a treatment and any notes about those treatments for a minimum of 6 years. 6 years after your last treatment or after the end of our business relationship with you we will permanently delete all your personal information that we hold. If it is necessary to retain your personal information, we will delete or anonymise it. We have appropriate security measures to prevent personal information from being accidentally lost, used or accessed unlawfully. Anyone using your data will be doing so only in an authorised manner, we have a procedure in place to handle any suspected data breached with the applicable regulator. How to complain: We hope that we can resolve any query or concern you may raise about our use of your information. The General Data Protection Regulation also gives you the right to lodge a complaint with a supervisory authority, in particular in the European Union (or European Economic Area) state where you work, normally live or where any alleged infringement of data protection laws occurred. Booking

- Bookings are handled as ‘Booking Requests’ only until confirmed by us in writing. - A booking request can be made via Instagram or Facebook Messenger, email, or via third party booking site. - Please allow 24 hours for a response to your booking request. - A non-refundable deposit is required at the time of booking which is deducted from the full balance. - For any course of treatments purchased, a 50% (non-refundable deposit is paid for) with the remaining treatments as a pay as you go to be cleared with a minimum of 24 hours before each appointment. The same Cancellation policy applies to courses of treatments.

Cancellations

Cancellations & Lateness have a detrimental impact on our business, we try to accomodate all changes as best we can. The below policy outlines our cancellation and lateness policy - Any cancellations must be made within 24 hours of the treatment start time. - If you are unable to give 24 hours’ notice, the full cost of the treatment will be required. - Lateness has a detrimental impact on our business and other clients, If, you are more than 10 mins late to your appointment, we reserve the right to cancel your booking, if we are unable to reschedule your booking, the full cost of treatment will be required. - For clients who are late or “no-shows” on multiple occasions, we reserve the right to request full payment upon booking. o In this instance a credit note for The Remedi Room services will be issued in the case of cancellation. We do not issue refunds.

Refunds

We will always endevour to accomodate any changes with rescheduling treatments as neccessary. However The Remedi Room does not offer refunds. A non-refundable deposit is taken at the time of booking. If it is not possible for you to redeem this aginst a treatment booking, this can be transferred to another individual via gift card pending them providing the necessary personal information for us to undertake the services, in line with our privacy policy. Any gift cards issued for transfer of service, have a 3 month expiration date for use, after which the deposit is no longer redeemable against any service.
